Reviewing the audit trail before a client visit
Read the audit trail on a record so you can answer the client's questions before they ask.
Practical steps
- 1
Open the record. Scroll to the activity log or audit trail section.
- 2
Read the entries top-to-bottom. Created, assigned, photographed, commented, closed.
- 3
Confirm every action has a named user and a timestamp. Anonymous actions are a red flag.
- 4
Check for gaps. A gap of more than 5 working days between actions usually needs a comment explaining why.
- 5
Print or PDF the audit trail if the client requests it. Most apps have an Export button at the top.
Key takeaways
- Audit trails are read top-to-bottom; the story should make sense without you explaining.
- Gaps need a comment. A blank week looks bad in legal review.
- Export to PDF is the fastest way to hand a clean record to a client or auditor.
